How I Use ChatGPT to Maximize Leave Time

Leave is one of my love languages. My work allows me to share my passion, my salary provides financial stability for my family, but my leave gives me something irreplaceable…time with my loved ones. Today, I’m sharing how I use ChatGPT to efficiently plan my time off for the year, ensuring I maximize long weekends, coordinate with holidays, and reserve days for the moments that matter.

Things You’ll Need to Know

Before getting started, here’s what you’ll want to have handy:

  1. Your Total Leave Balance: Whether it’s annual leave, sick leave, or a PTO pool, know your starting balance.
  2. Paid Holidays: A list of company-paid holidays helps you align your leave strategically.
  3. Key Dates: Mark important events like birthdays, weddings, or special school activities.
  4. Buffer Days: Save some time for emergencies—think sick kids, last-minute school parties, or even a personal day just for you.

Using ChatGPT to Maximize Leave Time

If you’ve never used ChatGPT, don’t worry! It’s simple, and I’ll guide you step by step. I personally use the paid version, but I tested this technique on the free version to ensure anyone can follow along.

Step 1: Start with the Right Prompt

Visit chat.openai.com and type in your prompt. The key is specificity. Clearly outline what you need (to maximize leave time), what inputs you’ll provide, and end with something like, “Ask me questions to clarify.”

Step 2: Review ChatGPT’s Response

ChatGPT will respond based on your inputs. Remember, clarity is critical—garbage in, garbage out! It’s a good idea to keep your responses short and direct.

Step 3: Do Even More! Ask ChatGPT to Draft an Email for Approval

One of my favorite features of ChatGPT is its ability to save time with polished communication. After planning my PTO, I asked it to draft an email for my boss. Here’s what it created:


Subject: PTO Plan for 2025 – Request for Approval
 
Dear [Boss’s Name],
I hope you’re doing well! As we start the year, I’d like to share my PTO plan for 2025 and request your approval. I’ve aligned my time off with the organizational holidays and some personal time to maximize my vacation days while ensuring I leave some hours available for unexpected needs.

Here’s my proposed PTO plan:

  • Spring Break:

    • Dates: March 14-18 (Monday-Friday)
    • PTO: 40 hours (full week off)
  • Long Weekends & Holidays:

    1. Memorial Day Weekend: May 24-27 (Friday-Monday)
      • PTO: 8 hours (Friday)
    2. Labor Day Weekend: August 30 – September 2 (Friday-Monday)
