The past few weeks have been super busy for us, and we have another packed one coming up. I have a huge work commitment with early mornings and late nights, the kids have evening and weekend sports practices, Valentine’s Day is right around the corner, and we have a long weekend ahead.
These are the weeks when it’s so easy to feel overwhelmed or forget something important. Today, I’m sharing three simple tools that will help you stay on top of everything and set yourself up for success!
1. The Brain Dump
Let’s start by clearing your mental clutter. The goal here is to get everything out of your head and onto paper (or a digital note, but trust me, writing it down by hand is incredibly effective!).
How to Do It:
- Find a quiet space, take a few deep breaths, and grab a blank sheet of paper.
- Start jotting down everything that’s on your mind for the week—no need for complete thoughts or organization yet. Just write!
- For example, my brain dump right started out something like this:
- Kids’ sports practices
- Clip the cat’s nails
- Make a hotel reservation
- Keep your list handy throughout the day to capture additional thoughts as they pop up.

That’s it! A brain dump helps relieve stress by getting all those swirling thoughts out of your head and into a tangible form.
2. The Mind Map
Now, let’s turn that brain dump into something structured.
How to Do It:
- Grab another sheet of paper and write “This Week’s To-Do List” in the center.
- Look at your brain dump and identify major categories. For me, that includes:
- Kids
- House
- Pets
- Work
- PTO
- Sports
- Trip Planning
- Self-Care (This one is so important—I used to skip it, but now I make sure it’s on my list!)
- Start organizing your brain dump items under the appropriate categories.
- Pull in other sources, like emails, school announcements, and to-do lists, to make sure nothing is missed.
For example, under my Kids category, I have “Valentine’s Day.” The subtasks under that?
- Sign up for a class party donation
- Buy party contributions
- Get or check heart shirts
- Buy valentines
- Have the kids write out valentines
- Bring everything to school on time
See how everything starts coming together?

3. Your Planner & To-Do List
Now, it’s time to put everything in one place—whether that’s a paper planner, a digital app, or whatever system works best for you.
How to Do It:
- Transfer everything from your mind map into your planner or to-do list.
- Assign dates to fixed events and note key due dates for tasks.
- Reverse-engineer your schedule to fit in time for your to-dos—not just what needs to be done, but when you’ll actually do it.
Example: Prepping for Valentine’s Day
Since my week is packed with late work nights, I need to plan ahead. Here’s how I’m breaking it down:
Sunday (Errand Day)
- Sign up for class party donations (if not done yet).
- Run errands:
- Buy party contributions (snacks, supplies, etc.).
- Get heart shirts for the kids (or check what we already have).
- Pick up valentines for the class.
- Buy small Valentine’s gifts for the kids.
- Grab Valentine’s cards for my nephews.
- Write and mail the Valentine’s cards (so they arrive on time).
Monday
- Have the kids start writing their valentines (split it over two nights to avoid last-minute stress).
Tuesday
- Finish writing valentines if not done on Monday.
Wednesday
- Double-check that party donations and valentines are ready to go.
Thursday
- Set out heart shirts, valentines, and party contributions by the door.
Friday (Valentine’s Day!)
- Drop off party donations and valentines at school.
- Give the kids their small Valentine’s gifts.
By breaking it down like this, I don’t have to scramble at the last minute. It’s all planned, stress-free, and totally manageable!
Final Thoughts
This whole process might sound complicated, but it takes just 15-20 minutes a week and saves hours of stress and last-minute scrambling.
Try it out this weekend and let me know—do you already use a system like this? What works best for you?
